Zoom: Creating a Recurring Meeting in Canvas

  1. Click on Zoom in your course navigation menu.
  2. Click on Schedule a New Meeting in the top right corner.

  1. Add to your meeting.
  1. Topic.
  2. Description (if needed).
  3. When: Start date and time (you can type in minutes i.e. 2:45pm).
  4. Duration: Meeting length (hour and minutes). Note: With a “licensed account” running over the time limit will not end the meeting. Time Zone: Select the time zone and then click on “Recurring meeting”. A new box will open.
  5. Select the recurrences (weekly, daily, monthly, no fixed time*)

* If you prefer an “open” link (for example, to create for Canvas student groups/group projects), select “no fixed time”, this link will always be available since there is no time to adhere to, but remember to include an end date (See i.)

  1. Repeat every __  week.
  2. Occurs on: Select date or days of the week.
  3. End date: Choose a specific date (click on the calendar icon next to the date) or check “After (x) occurrences” (click on the downward caret to see the number for occurrences (number of weeks this Zoom call will last.)

  1. Please scroll down further to make sure you have selected all your preferred meeting settings.
  1. Registration. Check if required.
  2. Passcode.
  3. Waiting Room.
  4. We suggest checking “Require authentication to join” then choose “Only NYIT Users”. Students must login in using their New York Tech credentials. Only emails@nyit.edu can join the meeting. (if checking this outside email addresses from the New York Tech community will not be able to access the Zoom call(s).)
  5. Video. Leave as default. Both.
  6. Audio. Leave as default. Both (Benefit: If a participant loses internet connection, they can call in).
  7. Meeting Options. Decide your meeting options.
  1. Enable to join before host. (participants can join before the host)
  2. Mute participants upon entry.
  3. Use Personal Meeting ID (not recommended). If used students will then be able to enter your personal Zoom room.
  4. Record the meeting automatically (If you click on this, there is an option to “record to the cloud”. Cloud recordings will automatically be swept into “My Media” in Canvas. You can easily find videos in “My Media” in Canvas or at nyit.mediaspace.kaltura.com your personal mediaspace.) Note: Videos do take time to process. It will not be immediate. Generally, the video will appear at 2x’s the video time length. For example, a 30 minute Zoom, should appear in 1 hour
  5. Enable additional data center regions for this meeting (leave at default).

  2. Click Save.

Note: If you would like to pre-assign breakout rooms. Zoom in Canvas does not have this feature! (Login into nyit.zoom.us view under “Host Resources” and view pre-assigning breakout rooms).

  1. Once clicking “Save”, a new window will appear. You will see a summary of the recurring meeting.
  1. Time. Meeting details with ability to “Add to” to your preferred calendar.
  2. Meeting ID. (Zoom generated).
  3. Security. (Passcode, Waiting Room, Require authentication to join). It will list what was previously selected.
  4. Copy the invitation. Click on “Copy the invitation” and copy to your clipboard. Paste it in your announcement section to your students (recommended to post). Note: Have a back-up plan: This announcement will contain the Zoom phone number for this meeting. You may want to share it as a backup plan in the event a student(s) may lose internet connection. They will have the option to “dial-in”. (The phone number is only listed on this invitation).

        

  1. Canvas’ intuitive design will automatically list the meetings in the Zoom link in the course navigation. To check:
  1. Go back to your course navigation link and click on Zoom.
  2. See top tab: Upcoming Meetings.
  3. See recurring meetings vertically listed.
  4. Faculty View: Click on “Start” or “Delete” (if needed) directly from the Zoom link in your course navigation.
  5. Student View:  Click “Join” directly from the Zoom link in their course navigation. (They will not see Start or Delete that is just for faculty 😀)

Note: To edit your recurring meeting(s) or add pre-assigned breakout rooms. Login with your NYIT credentials at  nyit.zoom.us.
