The following instructions will guide you through the process of sharing slides and seeing participants at the same time in Zoom. Part 1. Enabling “Show Zoom Windows during screen share” You will only need to do this once in your Zoom application. However, we recommend checking that the option is still enabled after any software update. When you enable this option and share your screen you can set up your Zoom windows and slides, for example, so that you can see participants and slides at the same time, and have this setup be in the recording.l | |
1. | Go to settings in the Zoom application. |
2. | In the left menu select “Screen Share” and enable the “Show Zoom Windows during screen share” option. You’re all set! Your system is now ready to You can now close the window (if you wish, you can go back into settings after closing this window to make sure the new settings have been saved). |
Part 2. Preparing your settings in PowerPoint Once you complete these steps, the setting should be enabled in your program and should remain enabled (you don’t have to repeat the steps every time). However, we do recommend checking the settings every so often to make sure they have not been disabled. | |
1. | In the top menu in PowerPoint go to “Slide Show” and then “Set Up Slide Show”. |
2. | Select “Browse by an individual (window)”. Click “OK” and you are all set on the PowerPoint settings end! |
3. | Final recommendation: Consider designing your slides with transitions since to grab your participants’ attention! |
Part 3. Sharing and setting up your screen You will need to follow these steps every time you want to share your slides and see participants at the same time. | |
1. | When you’re ready, click on the “Share Screen” option in the bottom bar of your Zoom meeting screen. |
2. | Select “Screen”. Yes, even if you want to share slides, select this option (trust me). If you will be showing videos or audio during your screen be sure to click on the “Share computer sound” option. Then, click “Share”. |
3. | Click o “Exit full screen” on the top right corner of the screen. The green square you see around your screen delineates the area of the screen that is being shared (in this case, your entire screen). |
4. | You will now see your desktop where you can move your PowerPoint slides and Zoom windows around. |
5. | Move your slides and Zoom window around and change their size until you have them in the position and size you wish. We usually keep people on the right side of the screen and the PowerPoint program on the left, but you can move things as you prefer. |
6. | When you are ready, click on “Slide show” in the bottom right corner in PowerPoint. |
7. | You can now see the slides and participants at the same time. If you are recording, the recording will look exactly like what you see on your screen. |
