This privacy notice discloses the privacy practices of Ymir Systems. Last updated: 31 March 2019.

It is our aim to not only comply with standards and regulations for privacy protection, but to go above and beyond. Our policy is to serve you with transparency and integrity.

Information Collection

We only collect and have access to personal information that you share publicly or otherwise voluntarily give to us. We are currently using formspree.io to process our webforms, so their policy applies for data transmitted to us through the forms on our website.

Upon initially receiving any of your information, we will contact you to confirm both:

• that it was, in fact, your intention to provide us with the information received.
• And, that you are not a child according to the definition of the Children’s Online Privacy Protection Rule.

If we do not receive a response within 30 days, it will be assumed that either you are a child or it was not your intention to provide us with information--and it will be deleted.

Information Use

We will use the following information only for the following purposes:

• Your email address, and optionally your name, to respond to you regarding the reason you contacted us, and to notify you of any changes in our policy concerning your data.
• Responses to survey questions to determine requirements for improving our products and services.

We will not use it to send you commercial solicitations nor advertisements, though we may ask you to participate in market research surveys.

Information Sharing

We will not sell, rent, nor share your information with anyone--except to maintain compliance with any applicable legal regulation.

Your Access to and Control Over Information

We do not claim any ownership of your data, but rather are accepting custody of it. It is your data. You can do the following at any time by contacting us:

• See what data we have about you, if any.
• Change/correct any data we have about you.
• Have us delete any data we have about you.
• Opt out of any further communication.
• Express any concern you have about our use of your data.

Duration of Custody

We will not store any of your information longer than is necessary for the purposes listed above. Archived information consists of your email address, and optionally your name, for the purpose of correlating any future communications with you as described above.

Security

Your information is held strictly confidential, and is encrypted when stored on our machines or archives.

We document the chain of custody within our organization by logging the collection of data and every instance of it's access, modification, and deletion. This log is considered part of your information and will only be deleted upon your request. Until then, if the remainder of your information is deleted, the log will be archived. Archives with no identifying information are typically deleted immediately, but will be retained for no longer than 30 days.

Access to your information, including archived logs, is restricted.

The security of your personal information is important to us, but remember that no method of transmission over the Internet, or method of electronic storage, is 100% secure. In the event that we become aware of a data breach, it will be logged and we will notify you via email within 5 business days.
