Procedures and Information
Signing up for tournaments
It is recommended that teams sign up for tournaments as quickly as possible as they do fill up fast. Here is the procedure to follow:
- Find the list of relevant tournaments here on the Baseball Ontario Site (link). You can search and filter for tournaments that apply to you. Tier 1 teams should enter AAA tournaments, Tier 2 teams should enter AA or A.
- Fill out the tournament application form. When asked for your OBA roster number you can look at the previous year’s classifications (Look for “classifications” at this link). Your team roster number typically stays the same as the previous year (ie. Major Peewee Tier 1 will be the same at Minor Peewee AAA in the classifications. If you are a new team or are uncertain leave TBA, tournaments typically need to know this number later on.
- If the tournament takes online payment you can pay online and submit the costs for reimbursement by using the Request a Payment form at www.kmba.ca under Forms.
- If the tournament requires a cheque the cheque can be requested using the same Request a Payment form.
Notes about tournament sign up:
- KMBA will cover 2 tournaments to a maximum of $1000.
Procedures for KMBA teams hosting tournaments
- Team must request approval from KMBA in writing indicating details of tournament (division, date, number of teams, etc.)
- Team must agree in writing to follow the Financial Processes for Hosting Tournaments put forth by KMBA (see below)
- After receiving KMBA approval, team must complete and submit the OBA application
- Team will pay the OBA application fee by requesting payment from KMBA using the regular payment request form
- If team is running a BBQ/Concession, team is responsible for obtaining the appropriate licenses from the City of Kitchener and Waterloo Region Health Dept. KMBA can provide direction/assistance with this.
- Team must book the diamonds and umpires through KMBA
- Team will prepare the tournament schedule and manage the communication with the teams participating in the tournament
Below are the financial procedures that KMBA teams must follow when hosting tournaments:
- All tournament entry fees and sponsorship cheques to be made payable to KMBA
- KMBA will be billed for the diamonds and umpires and will be responsible for paying those bills.
- KMBA will reimburse the team for any surplus – Entry fees/Sponsorships minus the cost of diamonds, umpires and any miscellaneous expenses incurred by KMBA.
- Team will reimburse KMBA for any shortfall if the Entry fees and Sponsorships are not sufficient to cover the cost of diamonds and umpires.
- Teams will pay the OBA tournament application fee from their team bank account
- Team must maintain a record of all the expenses and revenue related to the tournament (including the BBQ/selling of food)
- All transactions for the BBQ/selling of food must be handled through the team bank account - no account may be set up in a personal name. (note: individuals may purchase items for the event and be reimbursed from the team account).
- Team must provide the team parents with a reconciliation of the tournament transactions (and to KMBA upon request)
Uniform Standards

All uniform pieces must be purchased from the official supplier of our uniforms. The penalty for wearing uniform pieces not purchased from the official supplier is to be determined by the KMBA board. Pieces purchased from a previously authorized supplier at a time when they were the authorized supplier and still fit of use may be worn.
Numbers on hats and names on jerseys are permitted but not mandatory. If added to the hat or jersey the names and numbers must be added by the official uniform supplier or its designated supplier.
Team Website Administration
All teams are encouraged to use their team site at www.kmba.ca to post news articles, schedules and results. Teams should also ensure the roster added by KMBA administrators is accurate and that all fees paid by players are accurately reflected.
To login to the site all team user ID’s follow the pattern yyyyt# with yyyy being the year of birth of the age group and the # being the tier of the team (1 or 2). Password was provided at the coaches meeting, email the webmaster if you need this password.
Police Check Procedure
If you have received a notification that your police check is required you may follow the following procedure
- Complete the online application form requesting the Police Vulnerable Sector Check
Or:
- In person at the Police Reporting Centre at 150 Maple Grove Rd, Cambridge, ON.
- The Police Check will be processed and often completed while you wait. Sometimes you may need to come back to pick this up.
- When you receive the check place it in a sealed envelope with your name and police check written on the envelope. Drop it off at the KMBA office at 26 Elm Street, Kitchener.
Signing up for coaching courses
Each coach must have the proper certification to coach any rep team within Kitchener Minor Baseball. Here is the process to ensure you are properly certified.
- Requirements can be retrieved from this link at baseballontario.com
- To see what you have go to https://nccp.baseball.ca/ and sign in . If you do not have a sign in you will need to create an account.
- Your status will be at https://nccp.baseball.ca/status.php. From here you can determine what you need.
- Review available clinics at https://nccp.baseball.ca/clinics.php and Register for those you need. You pay online and submit request for reimbursement to treasurer.kmba@gmail.com
- KMBA will also host clinics usually in February and March. Pre-registration occurs around December. If you miss pre-registration you can sign up for clinics in Kitchener using the standard process up to the point they are full.
Booking KMBA Facilities
KMBA facilities include the Breithaupt Batting Cages, practice fields, the pitching tunnel etc. KMBA welcomes you to book these facilities. Currently here is the booking process for each facility.
Booking the Breithaupt Batting Cages
Access the booking software through the Coach’s Center at www.kmba.ca

If you previously set up an account you can log in. This allows you to see and manage previous bookings.

If you have not set up and account you will need to register first:

To book times:
Move to the date and time you want to book.
- You can choose a single time or a recurring time.
- Any time that is not greyed out or already booked is available.
- You may book any duration of time you need. We ask that you respect the other teams that are also trying to book time.

Move the the date you wish to book

Highlight the time you want to book and double click

Complete the details of your booking

That’s it!
If you have to cancel please return and delete your booking so others can book the time.

You will receive a confirmation email and reminder emails regarding your booking
Booking the Faith Missionary Church Diamond
This process is the same as booking the batting cage, except select your time under Faith Missionary Church.
Booking a practice diamond
Email kmba@kmba.ca with your request. The office will confirm availability and provide options.
Booking school gyms or other school board facilities (i.e. lecture halls)
The facilities of the Waterloo District School Board are provided to KMBA for no charge with a $40 administration fee for bookings.
